Payments & Cancellations

1.1Terms of Service

Heart of Ayurveda will list what is included and not included on the retreat page. Travel to and from Eaton Manor, personal travel insurance, optional Ayurveda body treatments and upgrades, and any additional massages or treatments booked at the Eaton Manor Wellness Centre are not included unless stated.

1.2Reservations

To reserve your place on the retreat, please choose your room (and any optional upgrade) on the retreat page and complete payment through the secure payment link. On receipt of your payment, Sara will send you an Ayurveda form and arrange your mini online Ayurveda consultation.

1.3Payment & Acceptance of Terms and Conditions

Heart of Ayurveda will consider acceptance of these Terms and Conditions by any customer who has made a part or complete payment for the service. You are not required to sign these terms and conditions to be in acceptance of them. Please note that a signature is required for your photograph and video release in section 4.2. Payments are made online through the secure payment links on the retreat page.

1.4Cancellation by Guest & Refund Policy

If you wish to cancel your place on the retreat, you must notify us by email at [email protected]. Once we’ve received your notice, cancellation will take effect.

Please note that we employ a strict no refund policy. Due to the nature of the business and Heart of Ayurveda incurring costs immediately upon a customer’s acceptance and payment, Heart of Ayurveda reserves the right not to refund monies under any circumstances. Heart of Ayurveda reserves the right to refund customers at its own discretion, depending on how long until the retreat is due to commence. If there is a reasonable time frame, we will enact a refund less administrative, advertising and booking fees.

1.5Cancellation by Heart of Ayurveda

We will do our best to make sure the retreat runs without disruption. However, your safety is our priority. In the unlikely event that we have to cancel the retreat, whether due to natural disaster, illness, civil unrest, or any other unforeseen circumstance out of our hands, participants may transfer their payment to a future retreat (within 12 months).

While we help out as much as we can during this process, we want to be completely clear so we are on the same page: in the event of a cancelled retreat, Heart of Ayurveda is not liable for any refunds or reimbursements. Participants can however lodge a claim with their insurance company for a refund or reimbursement. Insurance is a real must to protect you from any unforeseen events.

1.6Changes by Heart of Ayurveda

Heart of Ayurveda reserves the right to make changes deemed necessary by our team, retreat leaders, teachers or partners prior to the retreat start date. In the event that we need to make a change to the venue, the teacher, the schedule, or any other aspect of the retreat, whether due to unforeseen circumstances like natural disaster, illness, civil unrest, death, closure, or any other unforeseen circumstance, guests may transfer their payment to a future retreat where the start date is within 12 months from the start date of the current retreat.

Heart of Ayurveda will not be liable for refunding or reimbursing any amount beyond the transfer of the payment, and is not responsible for reimbursing or refunding you for any amount paid if you decide to cancel based on these changes. This is the responsibility of your chosen insurance company and policy. You will not be entitled to claim any additional amounts or seek any compensation for any loss, expenses or damage (either direct or consequential), or for any loss of time or inconvenience which may result from such a change or cancellation (including but not limited to travel costs, transport, and treatment or activity purchases).

1.7Travel to the Retreat

It is the participant’s responsibility to arrange and pay for their own travel to and from Eaton Manor, and to allow enough time to arrive for the start of the retreat at 3pm on Friday 19th March 2027. A digital guide with directions is provided after booking. In the event that a participant’s travel is delayed, disrupted or cancelled, Heart of Ayurveda will not be liable for any compensation.

Insurance & Health

2.1Insurance

We strongly recommend that all participants hold insurance that covers their travel to the retreat and the dates of the retreat, including cancellation cover and any medical cover they may need. We highly recommend adding ‘Cancel for Any Reason’ to your policy to receive financial compensation for any reason. For example, you would be covered if something comes up, such as a family emergency or a new job opportunity, or if Heart of Ayurveda has to cancel due to weather, staff injury, staff illness or other unforeseen reasons. Although normal cancellation cover will protect you for illness or injury, or for a travel companion’s illness, injury or death, it is limited to these.

2.2Health Information & Your Ayurveda Consultation

After booking, Sara will send you an Ayurveda form and arrange a mini consultation so that the retreat practices and foods can be adapted for you where necessary. It is your responsibility to tell us about any health conditions, injuries, medication, allergies, dietary requirements or pregnancy that may affect your participation, and to keep us updated if anything changes before the retreat.

The retreat is a complementary wellbeing experience. It is not a substitute for medical advice, diagnosis or treatment, and you should speak to your doctor before taking part if you have any concerns.

Acknowledgement

3.1Acknowledgement of Risks – Assumption of Responsibility

Although Heart of Ayurveda has taken reasonable steps to ensure safety, I (the retreat participant) acknowledge that this activity has risks, including certain risks which cannot be eliminated without destroying the unique character of this activity. The same elements that contribute to the unique character of this activity can cause loss or damage to the participant, including accidental injury, illness, and damage to or loss of property. The following describes some, but not all, of those risks.

Activities on the retreat include, but are not limited to: yoga postures, breathing practices (pranayama), meditation, Yoga Nidra and active meditation; walks in the countryside, woods, meadows and by streams on uneven or slippery ground; evenings around a fire pit; Ayurveda body treatments using warm herbal oils, powders and pastes; and changes to diet, including herbs, spices and teas. The retreat takes place in a rural location, and transport and medical care may take longer to reach you than in a town or city.

Environmental risks and hazards include weather which may change without warning, uneven, wet or slippery ground, streams, and wildlife and farm animals. Possible injuries and illnesses include muscle strains and sprains, falls, dizziness or light-headedness during breathing practices or when moving from lying to standing, burns, skin reactions or allergic reactions to oils, herbs, foods or teas, and other mild or serious conditions.

Throughout the retreat, participants are responsible for their own safety and are encouraged to listen to their bodies and work within their own limits.

I (the retreat participant) acknowledge and understand that the retreat includes risks of injury to participants. I understand the description above of these risks is not complete and that other unknown or unanticipated risks may result in property loss or injury. I agree to assume responsibility for the inherent risks identified herein and those inherent risks not specifically identified. I acknowledge that participation in this activity is purely voluntary, no one is forcing participation, and participation is elected with full knowledge of the inherent risks. I (the retreat participant) assume and accept full responsibility for any injury, loss of personal property, and expenses suffered as a result of those inherent risks and dangers identified above, and those inherent risks and dangers not specifically identified, and as a result of my own negligence in participating in this activity.

PERSONAL RELEASE. By agreeing to the terms outlined here and elsewhere on the Heart of Ayurveda website, I hereby release and discharge my rights and claims for damages or liabilities that may occur as a result of participation in the retreat, including but not limited to damages as a result of unexpected occurrences, including those from weather, wildlife or uncontrollable acts of God. For the benefit of everyone on the retreat, Heart of Ayurveda reserves the right to accept or reject any participant at any time without liability, and in the event it determines, in its sole and exclusive discretion, that a participant is disruptive to the harmony of the retreat, it may, without any obligation to pay a refund or any other amount whatsoever, ask such participant to leave the retreat. Heart of Ayurveda will carry no responsibility or liability for any participant who leaves the retreat prior to its conclusion, or for any activity undertaken by any participant which is not included in the retreat schedule.

4.2Release and Permission to Photograph and Video

By agreeing to the terms outlined here and elsewhere on the Heart of Ayurveda website, I hereby grant permission for Heart of Ayurveda to use the rights of my image, video or likeness.
